Merge 2 CRM Contacts

If you have accidentally created duplicate contacts in your CRM, this feature is made for you.

It allows you to merge the data from one contact card into another with a single click.


What does merging consist of?

This feature enables you to merge a Source contact card (card S) into a Destination company card (card D) to consolidate the data into a single card.

Capture

The operation of merging contact S into contact D will specifically:

  • Reassign opportunities, projects, purchases, orders, invoices, actions, and discussion threads from contact S to contact D

  • Delete the Source contact while keeping the information if the destination is empty, or deleting it if it already exists in the destination card


Prerequisites for merging a card

  • Have delete rights on CRM contact cards

  • Have write rights on all cards associated with contact S (contacts, actions, opportunities, projects, orders, purchases, ... if any)


Initiate the merge of 2 CRM contacts

Warning

  • The merge is irreversible

  • The data from the source card will be deleted

  • We recommend that you read the section "What does merging consist of?" before initiating it.

Step-by-step process to initiate a merge:

  1. Open the source card

  2. Click the "..." button in the card header then "Merge"

  3. Select the destination card > Display alerts about consequences

  4. Check the required rights for merging

    • If rights OK ➡️ Display "rights check ok" ➡️ click confirm to start merging

    • If rights KO ➡️ "Insufficient rights, merge cannot be started" ➡️ User can only cancel and must modify their rights or contact their administrator

  5. A blue pop-up indicates the start of the merge, then a green one will appear once the merge is complete

  6. You can then view the merged card by clicking "Open the merged card" on the green pop-up


FAQ

The button to initiate a merge does not appear

Make sure you have delete rights on the source card.

Rights analysis returns an error and I am advised to contact an administrator

You must have read, write, and create rights on all affected cards. For example, if you want to merge a card containing an opportunity into another card, you must have the right to create opportunities. You can find the cases in the section "Prerequisites for merging a card".
