Manage your actions and reminders

The Actions module displays by default all "Reminders" (todo tasks) to be handled within your perimeter. It also allows you to view the actions carried out on the various cards in the tool.

The Actions module is therefore designed to:

  • Help you manage your daily activity by prioritizing tasks to be performed within the different modules you have access to (calling a lead, mission monitoring, interview with a candidate, etc.),

  • Provide you with useful information to prepare your commercial, HR, and administrative meetings,

  • Allow you to review actions carried out within your activity perimeter and other managers' perimeters (depending on your access rights). Example: view all meetings held in the CRM or mission points completed in the Projects module,

  • Enable you to assign reminders/actions between managers,

  • Keep a history of all actions, exchanges, and meetings held with your leads, employees, and clients.


Create an Action

If you want to create an action performed on a card in BoondManager for:

  • Notify a call made to a candidate

  • Record the report of an HR interview conducted with a resource

  • Note the summary of a meeting with a lead (from a CRM Contact card)

  • Log the summary of mission monitoring performed on a project

Then you must click on the relevant card (Candidate, Lead, Project, Order...) and two options are available to create an action:

Once on your Action:

  1. By default, the tool suggests creating an action of type "Reminder/To do" but you can select another type of action performed from the dropdown list (configured by your interface administrator)

  2. Enter the date and time the action was performed

  3. Here you find the main manager responsible for the action; by default, when you create an action, you are the manager

  4. Just enter your report

  5. If needed, you can attach a document to your action

  6. Save

Reminder:

An action is always linked to a contact (candidate, resource, CRM contact). From the CRM, you must follow this path: CRM > Company > Contact card > Create the action


Create an Action Template

You can create and use action templates to save time when entering data. To do this, you can read the following documentation: Create action templates

Here is a possible action template:

Templates are specific to each action type and can be personalized by manager or shared if generated from Administration. You will find all your available templates by clicking your first name at the top right of the interface, then Configuration, then in the "Action templates" tab.


Create a Reminder

A Reminder/To do is a task to be performed in the future. If you want to create a "Reminder" on a BoondManager card such as:

  • Call a candidate to schedule an interview

  • Follow up with a lead

  • Perform mission monitoring

  • Receive an order

  • Schedule a meeting

  • ...

Then you must follow the same path as for a standard action from a contact card (candidate, resource, or CRM contact):

  1. Path 1: Go to the Actions tab and press the +
    button Path 2: Click the + button then "Action"

  2. Keep the action type "Reminder/To do",

  3. Enter an upcoming date and time when you need to perform the reminder

  4. Just enter your text in the block

  5. And save.

Your "Reminder/To do" will appear in several places:

  • In the relevant contact card

  • In the Actions module

  • On your dashboard on the day the reminder is due

If you have the Notifications App enabled, you will also receive by email each day the list of your "Reminders" for the day if you have configured it beforehand.

A Reminder/To Do is always linked to a contact (candidate, resource, CRM contact). From the CRM, you must follow this path: CRM > Company > Contact card > Create the Reminder/To Do action


Manage your Actions / Reminders To Do

By default, BoondManager displays standard actions and "Reminder / To do" actions from your perimeter across all activated modules.

In the Actions module, "Reminder/To do" are displayed by default in chronological order. If "Reminders" are not completed on time, they will continue to be displayed until you handle them.

Handle Reminders/To Do

To handle a "Reminder", there are several possible scenarios:

1. The "Reminder" is completed

Example: you have a "Reminder" because you scheduled an interview with a candidate or a phone meeting with a client. This action takes place as planned.
In this case, click the Reminder and change its type by selecting the type of action performed from the dropdown list, add history in the action body if needed, and save.

2. The "Reminder" needs to be postponed

Example: you have a "Reminder" to follow up with a client. You called the client but they were not available. You need to call again in 2 days.

You will create an action of type "Call" on the client's card to indicate you attempted to call (to keep a history of your call attempt).

Then click the existing "Reminder" to postpone it by changing the follow-up date to 2 days later.

3. The "Reminder" needs to be deleted

Example: you have a "Reminder" to schedule an interview with a candidate. You call the candidate. They do not want to interview because they are already employed. You will create an action of type "Call" on the candidate's card to indicate the candidate is not available (to keep a history of your call).

Then you will delete the "Reminder" by selecting the checkbox to the left of the relevant "Reminder" and clicking the bin.

Share an action/reminder with another manager

Sometimes you perform Actions or schedule Reminders/To Do that you want to share with colleagues. In BoondManager you can share all cards you create!

It's simple: at the top right of each card, you find a "share" button:

just click it.

  1. Then select one or more recipients from the item list.
    Check that the subject and message body suit you or modify them if needed.
    Note: you find the direct link to the action in the message body.

  2. Choose whether to copy yourself to also receive the share by email.

  3. Click to send!

You can create predefined recipient groups to save time!

View actions/reminders from other managers

To view Actions or Reminders/To do from other managers, you must ensure you have the rights. If not, contact your BoondManager administrator.

Then, simply go to the Actions module and filter by other managers' perimeter in your company or directly on the Actions tab of the different cards you are interested in.

Example: you want to see the candidate report written by your colleague, so go to the candidate module > click the candidate to open their card > Actions tab > You find all actions performed with them.

Assign an action/reminder to another manager

Sometimes you perform an action and want to assign it to another manager. For this, check with your administrator to ensure you have the necessary reassignment rights.

Once verified, simply go to the action in question and select another manager from the dropdown list. Like this:

If you want to synchronize your Actions and Reminders/To do with your Gmail or Outlook calendar, it's possible! BoondManager provides the GCalendar and Microsoft Apps for integration.

The plus? You can also invite your colleagues and clients directly from the Action or Reminder/To Do in Boond!

You can download these Apps from the marketplace or ask your administrator to do it and activate them for you.
