Our Microsoft application and the Outlook connector offer an interface with your Microsoft suite, allowing you to:

  • Create an event in your Outlook calendar from BoondManager

  • Create an action in BoondManager from an event in your Outlook calendar

  • Keep your BoondManager actions and Outlook events synchronized

  • Log an email in BoondManager from your Outlook inbox

To take advantage of these features, please follow the steps below:


Install the Microsoft application on BoondManager

Admin interface > Marketplace

For this step, simply:

  • Search for and open the Microsoft application

  • Click Install


Authorize a manager to use them

Admin interface > "Managers/Roles" tab > Relevant Manager/Role profile

To do this, you need to:

  • Check the box next to the Microsoft application

  • In the "Apps with advanced features" section, select Microsoft for the Calendar fields

  • Save!

Note: You should not configure Microsoft for the Mail field in the Apps with advanced features section, as Microsoft does not currently support this feature.


Link your Microsoft account with your BoondManager account

From your BoondManager interface, follow the steps below:

  • Follow this path: Manager Interface > My Apps > Microsoft

  • Log in to your Microsoft account

  • Accept the conditions/permissions requested by Microsoft


Install the BoondManager application on your Microsoft environment (Users)

From your Microsoft interface, follow the steps below:

  1. Download the add-in using this link (right-click on the page to save the document as XML).

  2. Then go to your mailbox and open an email to access the apps via the dice icon.

  3. Click "Download add-ins"

  4. Then click on "My add-ins"

  5. Finally, click Add a custom add-in then Add from file

  6. Select the file you previously downloaded.

Install the BoondManager application on your Microsoft environment (Administrators)

From your Microsoft interface, follow the steps below

  1. Go to your Admin interface

3. Click Load custom applications:

4. Then click Application type / "Office Add-in" and Provide a link to the manifest file

  • Finally, click Deploy

IMPORTANT!

The application may take up to 6 hours to deploy on your interfaces.

Congratulations! You now have access to the following functions:


Create an event in your calendar from a BoondManager action

Use case: you want to create a reminder for a client meeting, invite the client to the event, and synchronize this reminder with your Outlook calendar.

You therefore create a reminder action on your CRM record and follow the steps below:

  • Make sure you have installed Microsoft on your BoondManager interface, and installed the BoondManager extension on Outlook

  • Click Add to manager calendar

You will see fields appear, some pre-filled but you can of course modify them! You can change the title, location, start date and end date as you wish. And if you want, you can even add/remove guests by typing their name (if they are managers with a BoondManager account) or their email address:

Don't forget to save so the changes are taken into account and, most importantly, to trigger the creation/update of the event in your calendar.

You can now refresh your Outlook calendar and you'll see the event has been added/updated!

Important

Please note, all guests will see the details of the comments from your BoondManager action, even after the event has passed.

Make sure to only enter information you want to make visible, as any new comment saved in this action will also be copied into the calendar invitations for all guests!


Create an action from an Outlook event

Use case: You create an Outlook event related to a client meeting and want to also record it in their BoondManager profile.

You therefore create a new event in Outlook, then follow the steps below:

  • Make sure you have installed Microsoft on your BoondManager interface, and installed the BoondManager extension on Outlook

  • Fill in the event information, such as the title, possible participants, dates, comments, etc.

  • Then click the "..." menu at the top right and choose BoondManager.

  • A panel then appears on the right side of the event, and you can indicate in which BoondManager profile you want to save this event.

  • Use the search bar and filters to choose the correct CRM profile, then click Add:

  • Note: Once added, the event can be updated via the same path to keep Outlook and BoondManager synchronized:

  • You can now view the details of the meeting in the client's BoondManager CRM profile:

That's it, your action has been successfully created in the BoondManager interface!


Create an action from an Outlook email

Use case: You receive an email in Outlook from a client and want to record it in their BoondManager profile.

You open this email in Outlook, then follow the steps below:

  • Make sure you have installed Microsoft on your BoondManager interface, and installed the BoondManager extension on Outlook

  • Click the "..." menu at the top right of the email

  • Choose BoondManager

  • A panel then appears on the right, and the BoondManager CRM profile is automatically recognized based on the sender and/or recipient email addresses.

    • Important: CRM profile recognition will be limited by your BoondManager access rights to this profile

  • Then choose the action type to create in the CRM

  • Finally, click Add:
