This article will explain how to manage and track your candidates in your recruitment process, from the first interviews to hiring!

Before creating a candidate

You must check that this candidate is not already present in your resume database. Without this step, you risk creating duplicates and polluting your working database...

To do this, enter their last name and/or first name in the full text search field and check that all your filters are set to Indifferent:

Create a Candidate Profile

Automatically create a candidate with a resume

To create a Candidate profile, use the HrFlow application, it will save you valuable time!

Based on a resume, in PDF or Word format, the HrFlow application aims to save you time in creating Candidate profiles! The application pre-fills certain fields identified as: first name, last name, phone, email, skills, education... and the resume has been uploaded to the profile.

Once the profile is created:

  1. Update the title

  2. Be sure to fill in the Step field, which indicates where this Candidate is in your recruitment process

  3. Fill in the Resume source if you want to create metrics on it

Don’t forget to check the information entered by HrFlow because, depending on the imported resume format (there are several types of PDFs, some of which are difficult to parse), it may have trouble retrieving information. Therefore, you need to complete its work.

If the following message appears, it means you are trying to import a candidate who, according to the tool, already exists. Boond then suggests you consult the profile of the existing candidate to check that it is not a duplicate.

Prerequisite

If you are unable to create a candidate using the HrFlow application, it may not have been installed/configured.

Manually create a candidate

You can also manually create the profile using the + button. You will need to fill in each field yourself. We therefore recommend using the HrFlow application.

Qualify the TD and administrative aspects

Once the profile is created, new tabs appear within this profile.

The Administrative tab allows you to gather attachments such as a copy of your Candidate’s ID card, for example. You can also enter their salary expectations in the "Desired salary" field as well as their "Current salary":

The TD (Technical Data) tab gathers information related to the Candidate’s skills.

It is important to properly fill in the Candidate’s TD to facilitate your profile searches and ensure they match the needs you identify in your CRM:

  1. Profile summary: a short text to write containing the candidate’s key information

  2. Title: the candidate’s resume title. This field will be indexed in the keyword search, as well as the resume

  3. Skills: this field will be indexed in the keyword search.

  4. Experience, Education, Degrees and References: these fields qualify the candidate on their years of experience, education level, degrees obtained, and professional experiences.

  5. Tools, Activity areas and Sectors: these lists can be configured in the interface by your administrator. They allow you to further qualify your Candidate and facilitate profile searches thanks to these fields. Activity areas correspond to skills acquired by the Candidate, such as "Project Manager". Sectors correspond to the sectors of activity in which they have worked.

Manage actions with the candidate

The Actions tab of the Candidate profile lists all actions performed and to be performed with them.

BoondManager distinguishes completed actions from upcoming actions: upcoming actions, called "Reminder / To do" (or any other term configured by your administrator) by default, will be very useful because the tool will send you a notification to remind you of this task to perform.

Manage your candidate’s positionings

This tab lists all positionings of this Candidate for needs detected within your CRM. You will thus know which positionings are lost, won, and in progress for the Candidate concerned.
