Billing Projects by the Hour (in work units)

Configuration

First step before getting started, you must, in the order indicated below, perform certain configuration.

1. Create a dedicated project typology

Administration > Global settings > Needs/Projects tab > section Types of needs & projects

2. Define the default type of work unit for needs and projects

Administration > Legal Agencies > select the relevant entity > Information tab > section Types of work units for needs & projects

Important

Any resource working on a project in work units must log their timesheets in work units.

You have two options:

  1. the majority of your employees log timesheets in work units.
    => In this case, we recommend changing the value of work units/day for your resources in the configuration of your legal agency

  2. the minority of your employees log timesheets in work units.
    => In this case, we recommend customizing the number of work units/day for each resource from their profile configuration

Note:

Work units are now fixed in each timesheet!
If your employees logged a number of work units/day in previous months and you change their configuration, this will not modify the history. The number of work units/day is recorded in each timesheet at its creation.

Example: If one of your employees logged 7 work units/day until May and then in June you change their configuration to indicate 8 work units/day, this will only be applied to the next timesheets created (which was not the case before the June 2022 release)


Creation and qualification of a project in work units

Prerequisite

When creating a project in work units, if you have several legal entities and your affiliated agency is not the entity using work units, you must make sure to configure the project's work unit.

Deliveries tab

When qualifying your delivery, you must enter the sales rate per work unit and the number of work units sold.

You will be able to find the equivalent in days.

The type of work unit is the one indicated in the resource profile configuration at the time of its creation.

In the Production column, we display the quantity and type of work unit for the project (day or work unit).

On the invoice

On the invoice, the invoice details are also displayed in work units and the quantity of work units is shown.

F.A.Q

Can you go back to the work units/day of timesheets from previous months?

  • If your employees logged a number of work units/day in previous months and you change their configuration, this will not modify the history. The number of work units/day is recorded in each timesheet at its creation.

  • Example: If one of your employees logged 7 work units/day until May and then in June you change their configuration to indicate 8 work units/day, this will only be applied to the next timesheets created (which was not the case before the June 2022 release)

Can an employee logging time in days work on a project in work units?

  • No, the numbers reported will not be consistent because it will be considered that they perform 1 work unit per day worked.

Can an employee logging time in work units work on a project in days?

  • Yes, this is not a problem, it was already possible before and still is. The values reported on the projects will be in days (regardless of their equivalent in work units).
