This tutorial is designed to guide you through the control of documents, Timesheets, Expenses, and Absence requests pending validation!

⠀

Controlling Timesheets

Activity and Expenses Module > Timesheets

To display timesheets pending validation:

  • Filter on the State "Pending validation"

  • Select the perimeter of your search using the "Perimeter" filter.

  • Click on the row of each timesheet to access it directly (and not on your resource’s name, which would send you to their profile instead)

  • Check the validity of the information entered by your employee

  • Click either the Validate button to approve and lock the timesheet, or the Reject button to send an email requesting your employee to modify their timesheet

Note

If your employee needs to have their timesheet signed by the client, they can attach the signed "Client PDF" containing only the project data converted into days.

⠀

Controlling Expense Reports

Activity and Expenses Module > Expense Report

To display expense reports pending validation:

  • Filter on the State "Pending validation"

  • Select the perimeter of your search using the "Perimeter" filter.

  • Click on the row of each expense report to access it directly (and not on your resource’s name, which would send you to their profile instead)

  • Check the validity of the information entered by your employee

  • Click either the Validate button to approve and lock the expense report, or the Reject button to send an email requesting your employee to modify their expense report

Note

If you want to have the expense report signed by the client, click the "Client PDF" button and check the information to be included in the PDF version of the report.

⠀

Managing Absence Requests

Activity and Expenses Module > Absence Requests

To display absence requests pending validation:

  • Filter on the State "Pending validation"

  • Select the perimeter of your search using the "Perimeter" filter.

  • Click on the row corresponding to the absence request to validate it directly (and not on your resource’s name, which would send you to their profile instead)

  • Click either the Validate button to approve and lock the absence request, or the Reject button to send an email requesting your employee to modify their absence request

Note:

When an absence request is validated, the timesheet of the relevant resource is automatically pre-filled. If the resource later modifies the pre-filled absences, an alert appears on the timesheet: "The entered absences do not match your validated absence requests!".

The pre-filling of the timesheet works after the validation of an absence request only if the timesheet has not yet been created in the tool. If the timesheet has already been created and the resource has not entered their absences, an alert will then be displayed on the screen: "The entered absences do not match your validated absence requests!".

Identify Items with Alerts

Using the "Analyze" button, you can launch an analysis of all your items pending validation to quickly identify those with one or more alerts that require closer review.

Warning

You need to run an initial analysis of your items to have accurate information regarding the presence or absence of alerts on your documents in the "Alerts" column.

When to rerun an analysis?
Whenever you want to have, at a given moment, a status of the presence of alerts on the documents you are about to validate.

The date and time of your last analysis are indicated in the information banner at the top of the "Validations" view

Filter My Documents With / Without Alerts

In your filters, you can choose to display:

  • Your documents "With alerts", which may require manual review.

  • Your documents "Without alerts", which can potentially be validated in bulk if you consider that no manual review is necessary.

Note

Once a filter is applied, you can enter a document and then move to the next document via card by card navigation.
