Workplace Management

If you wish to:

  • know who is working remotely or in your offices

  • compensate your employees based on the timesheets declared for the different workplaces


Configuration

If you want, for a given Agency, to track the workplaces of your employees, then a Configuration must be done on the relevant entity.

Administration> Agencies > select the relevant Agency > Activity and expenses tab > "Workplaces" section (at the bottom of the page)

Workplaces

Add here the different workplaces you want to Make available for your employees. For each of them, you can specify:

  • Name: Label of the workplace that will be displayed in the list offered in your employees' timesheets

  • Type: category of workplace among the 3 options (Client site, Agency, Remote work)

  • State: Allows you to display or archive a workplace

Administration> Agencies > select the relevant Agency > Activity and expenses tab > "Timesheet alerts" section

Alerts

You have the option to configure alerts and even make them blocking by activating "Prevent document validation"

  • The number of days declared for workplaces is greater than the number of workable days

  • The number of days declared for workplaces is less than the number of workable days

Number of workable days

This number corresponds to the number of working days covered by the employee's contract AND for which no absence has been declared


Timesheet Declaration

Configuring a Standard Week

From the timesheet, the employee can configure a standard week.

Your employee can then determine their week:

Time Entry

Once the standard week is configured, it will be pre-filled by default and you can, if needed, make changes if there were any modifications.

As every month, you must declare your timesheets and absences in the "Normal activity" section.

If needed, you can also modify the standard week for workplaces.

Workable Days Counters

This counter displays the number of expected days (which may differ from the number of working days if absences are declared in the "Normal activity" section)


Impact on Payroll

Apps> ExtractPayroll > Configuration button

You will need to make changes to the Configuration of the ExtractPayroll app to take this new feature into account.

New Variables

Variables have been added to help you better manage the payment of benefits based on the workplace of your employee.

Delivery Benefits

Variables related to workplaces will not work with benefits entered on a delivery. Indeed, workplace declaration is independent from timesheets declared for the different activities.

Example: If, on the same day, your employee declares 0.5d for "Remote work" and 0.5d for "Agency" then declares 0.5d for internal and 0.5d for client production, it is impossible to know the activity performed while at the Agency.

Therefore, you should only work with contractual benefits entered on HR contracts (even if it means making amendments to indicate variations in compensation amounts depending on potential travel). Or manage it as an expense report in the case of travel with too much variance.

Configure Benefit Payment Rules

A column has been added in the Benefit Payment Rules section to allow you to choose the workplaces to which this rule applies.

Impact of "Selected Workplaces"

Selecting workplaces will impact the [WKP_...] variable of this row by taking the information from the selected workplaces. If no variable of this type is used on the row, then there is no point in selecting a workplace.
