A manager leaves your staff?
Do you want to turn a manager account into a simple intranet account?
Here are the best practices to follow.
Best Practice Before Deactivating the Account
To avoid losing any important information, here are the three key points to remember.
Reassign Cards to Continue Tracking
You can reassign cards individually or in bulk. To do this, before deactivating the manager, go to the different modules and filter on the manager's perimeter. Then reassign the cards.

Keep in mind that once the manager is deactivated, it will no longer be possible to filter on their perimeter. However, the cards will still be accessible according to each user's rights. Once you reassign the cards, you will also be notified about them.
You can leave archived cards with the former manager if you do not need to track them.
Check Validation Workflows
It is very important to modify the validation workflows before deactivating the manager if they are part of them.
To do this, you can do it from the Administrator interface > Legal Agency concerned > Activity & Expenses tab
Or you can directly make the change at the configuration level of the resource card if they were only a validator in a customized way.

Be sure to make the change for all workflows: timesheets, expenses, and absence requests
Reassign Managers
If the manager to delete is the "main manager" of another manager, then reassign the latter to another manager.
To do this, you must go to the Administration interface > Managers/Roles > Then go to each manager card to change the main manager.
If these are resources with an intranet, you simply need to have the reassignment right and perform the operation individually or in bulk from the Resource module. You can also reassign the HR manager.

Deactivate or Delete the Account Depending on the Need

Once the checks are done, you can go to the Administration interface > Managers/Roles > Deactivate the toggle for the relevant manager
The former manager will no longer have any access to Boond, neither intranet nor manager.
The Manager Is Downgraded to Resource
Once the checks are done, you can delete the account directly from the Administration interface > Managers/Roles > Click the bin at the end of the line, making sure the manager is still in active state.
This way, the manager will be deleted but their resource card will still be active with an active intranet.
(Note, if you simply deactivate the manager, this will cut off their access, so they will not have access to an intranet).
