Use action filters to target relevant records

Action filters optimize your record search by sorting those in your module according to the actions selected over a given period, making it easier to identify those that have certain actions or not.

Available action filters

As a reminder, you will find the filters in the search view of your modules by pressing the

Action filters are located in the Period section of filters > then in Filtered elements:

The following filters are available:

  • Records with actions of type (with one or more action types to select)

  • Records without actions of type (with one or more action types to select)

  • Records without any action

Tip!

All these filters are available when creating your dashboard widgets. 😉

Use cases for filters in daily operations

To illustrate the use of action filters, here are different possible scenarios.

Select a single type of action

Example 1:

You want to identify the resources you have introduced to a client this week, so you can contact them to gather their feedback.

  1. Resources module > Filters > Period > Filtered elements: Records with actions of type

  2. Select the action type: Client interview

  3. Then the desired period: Dynamic period - This week

(Don\'t forget to refine the search if needed, by adding filters such as Perimeter, card state or others)

Select multiple types of actions

Example 2:

You would like to list all your CRM contacts to re-engage, who have not been contacted for a month.

  1. CRM module (Contacts view) > Filters > Period > Filtered elements: Records without actions of type

  2. Select the action types: Client interview, Completed call, Email, Meeting, Mission monitoring

  3. Then the desired period: Dynamic period - This month

(Don\'t forget to refine the search if needed, by adding filters such as Perimeter, card state or others)

Know which records have no actions

Example 3:

In recent days, you have imported several Candidate profiles from your LinkedIn extension, and you are now looking to spot all Candidate records that have not yet been handled (for example, those who have not yet been contacted or who require a first note).

  1. Candidates module > Filters > Period > Filtered elements: Records without any action

  2. Then the desired period: Dynamic period - Last month or Indifferent

(Don\'t forget to refine the search if needed, by adding filters such as Perimeter, card state or others)

F.A.Q.

💡Why can\'t I find these filters in the Project module or in Billing?

For now, these filters are only available in the following modules:

  • Candidates

  • Resources

  • CRM (Contacts view and Companies view)

  • Opportunities

We are actively working to extend these filters to other modules.

💡I selected the filter for records containing actions of type X and Y, but the results also show records containing only actions X or only actions Y, whereas I only want records containing both types: X AND Y.

Currently, action filters use a search system with the "or" operator.

This means that, when multiple action types are selected, the results of your search will match one or the other of the specified criteria.

For example, if you search for records containing actions of type "Email" and "Todo", the system will list records that meet one or the other of these criteria (so records containing either "Email" actions or "Todo" actions).

You will therefore potentially find records containing the selected action types X and Y because the tool will have identified one of those types.

But it is, for now, not yet possible to filter with the "AND" operator to get only records containing each of the selected types (X and Y and Z etc.).
