Track Your Invoice Payments

To save time tracking your billing and monitoring your clients' invoice payments, follow the guide!


Identify Invoices to Collect

Use filters

Billing > Invoice view

To find invoices pending payment:

  1. Check all States except Paid

  2. Filter by Period = Expected payment date / or by a dynamic period = up to today.

Tip

Don't hesitate to save your search to save time.

Use alerts

By default, for all invoices at the Creation or Sent to client stage whose payment date is more than 20 days overdue, an alert is activated to notify you if necessary.

Note

Administration > Apps/Marketplace > Alerts > Configuration button

You can modify this alert if you want to be notified earlier.

Follow Up on Invoices Pending Payment

  1. Filter the relevant invoices,

  2. Select your invoices,

  3. Click on Emailing,

  4. Send by choosing your follow-up template.

Indicate Invoice Payment

When you receive payment for an invoice, several options may occur.

Invoice Fully Paid

Individually, invoice by invoice

By clicking on the invoice, you will have the option to update its state.

Attention:

By default, when saving, if you enter no date, Boond will record the current date.

In bulk

If you receive payment for several invoices, bulk modification will be useful:

  1. Select the invoice(s)

  2. Click the bulk modification icon

  3. Select State = Paid

You will then need to indicate the date on which you want to mark the selected invoices as paid.

Invoice Partially Paid

If, on the other hand, the client has not paid the full amount, you must indicate a partial payment.

Billing > Invoice module > invoice card

  1. Click the icon

  2. Add a row indicating:

    • The date of this first payment

    • The amount received

    • A comment

  3. Indicate the invoice state after confirmation

Tip

Administration > Global settings > Actions/States tab

If you find yourself in this situation, we recommend creating a new state for invoices: Partial payment.

Once the total amount is reached, the progress bar will turn green and show 100%, and the task "Collect the invoice" will be validated.

Track Billing

To efficiently track your billing, several views are available.

From the Reporting view

Reporting > Overview view > Billing Type

The displayed dashboard traces the full range of invoice states in progress.

If you click on one of the displayed amounts, Boond redirects you to the Billing module with invoices sorted by document date.

Thanks to saved searches

Go Further

Three features let you go further with your invoices :

  • The Compta & Paie app lets you manage your accounting entries

  • The SEPA app lets you generate transfer and direct debit orders

  • Bank reconciliation lets you connect your bank accounts to your interface

The Compta & Paie app

Compta & Paie lets you generate files to import your accounting data into your accounting tool (Sage Ligne 100, Sage Coala, CEGID).

The SEPA app

The SEPA application is designed to help you generate your SEPA files to make your payments (especially purchase payments) and direct debits.

Bank reconciliation

This feature, made up of the Bank Connection module and the Bank module, lets you track your payments by matching your incoming payments to your invoices directly in BoondManager
