Create a Transfer Project

A transfer project is an internal rebilling project between two Agencies. How to do it? In which cases?

You will learn everything in this tutorial!


Objectives of a Transfer Project

Why create a transfer project in BoondManager?

If an Agency uses a resource that does not belong to it, the tool suggests creating the transfer project (same intervention periods, number of charged days, daily sale rate, etc.) in order to:

  • Impact the costs related to the resource on the Agency to which the project is attached

  • Rebill the resource to the Agency to which the project is attached (real cost or margin cost)


Method 1: 1 Resource = 1 Project

Here are the steps to follow to create a transfer project:

  • First, you need to configure the rebilling rate between Agencies:

Administration > Agencies tab > Advanced Configuration tab

Then follow these steps:

  • Create the legal Agency to which the invoice should be sent as a partner in the CRM with an associated contact who is the manager of the final project.

Attention!

Without a contact, you will not be able to create the transfer project!

Don’t remember how to create a contact?

  • Create your final project by assigning the transferred resource to the project (as usual), with your client. That is, a project between your Agency and the final client.

  • Qualify the delivery as usual: Dates, Sale price, Number of sold days (charge)

On the right side, an "Transfer information" box appears:

"The resource and the project do not belong to the same Agency, do you want to create a transfer?"

If you leave the default “No”, no transfer project will be created. You will only be able to invoice your final client.

  • A new line “Transferor” appears, allowing you to choose the transfer mode: “Automatically create a new project

Save to create the transfer project!

  • In the pop-up that appears:

    • Fill in the internal rebilling project information, namely the title and assign it to the legal Agency and the contact created in the CRM previously

    • The tool creates a similar project in the Agency that owns the resource, with the legal partner Agency as the client (who sends it to the client)

  • Check the delivery information: the Daily Rate is automatically filled in according to the rebilling rate between Agencies.

By clicking on them, you access the initial project or the transfer project. In the transfer project, the daily sale rate taken is the Contract ADC. You can modify it manually.

Nota Bene

If all your projects are margined at X%, you can decide to configure a rebilling rate between Agencies that will be used by default for any transfer project creation. The daily sale rate of your resource remains manually editable.

Tip! Change the project name with the term "Transfer" in the reference to find them more easily :-)


Method 2: 1 Project for All Transferred Resources

To transfer several resources on the same transfer project, here are the steps:

  • Create the legal Agency to which the invoice should be sent as a partner in the CRM with an associated contact who is the manager of the final project.

Attention!

Without a contact, you will not be able to create the transfer project!

  • Create the internal rebilling project of the Agency that owns the resources with the client being the Agency that invoices the final client.

  • Assign the relevant resource(s) to this project.

  • Retrieve the IDs of each delivery thus created:

    • Where to find the delivery ID?

    • On the left side, "General information", on the first line Reference

    • All deliveries start with MIS for "mission"

  • Create the project linked to the final client and assign the relevant resource(s) (which therefore belong to another Agency).

  • On the delivery cards, on the left side "Transfer information", at the question "The resource and the project do not belong to the same Agency, do you want to create a transfer?", choose and check the check box "Yes"

    • In the dropdown list, choose: "Force the choice of the transferring delivery"

    • Then save

  • Enter the ID of the delivery retrieved earlier, which corresponds to the resource of the project on the transferring Agency side.

  • Qualify the delivery with the correct information: Daily Rate, period, number of signed days...

  • And repeat the operation until all resources have their transfer project linked to the transferring Agency's project.


How to find your transfer projects?

Projects > Deliveries view > Transfer filter

In this filter, you have several types in the dropdown list that the tool offers:

  • Acquired: deliveries transferred to the final client

  • Transferred: deliveries transferred internally

  • None: deliveries without transfer

  • Final and acquired: deliveries without transfer + deliveries transferred to the final client

  • Final and transferred: deliveries without transfer + deliveries transferred internally

  • Missing transfer: deliveries where a transfer is detected but has not been made.
