Electronic Signature

Thanks to our partnership with Universign (Signaturit), we offer you the ability to have your administrative documents (contracts, commercial offers, etc.) signed and to track their receipt and any reminders directly from your BoondManager interface.

Prerequisite!

Only users with access rights to BoondManager Administration will be able to install and configure access to the application.

Freemium: your quota included with your subscription

You benefit from a monthly and free electronic signature quota.
To check your quota, go to your "my subscription" area by clicking your first name at the top right (depending on your rights).

If you wish to increase your quota, you can contact our support team.

Good to know

Only users with access rights to the application will be able to use the electronic signature feature. We recommend installing it for all managers.


Sending the document to be signed

Once the application is installed on your BoondManager account, you will find the electronic signature icon at the top right of various cards (Resources, Candidates, and Opportunities), allowing you to start the electronic signature process for the document of your choice.

By clicking this icon, a window opens containing the following information:

  1. Integration of the PDF document to be signed

  2. Choose location where the document will be stored once signed

  3. Select the email of the signer (from the emails entered in BoondManager)

  4. Select the phone number of the signer (from the numbers entered in BoondManager)

  5. Ability to add other signers (up to 4 signers possible, signers must be present in the BoondManager database)

  6. Indication of the number of remaining credits in your pack

When you click the "Send" button:

  • The sent document is automatically attached to the planned location in the "Document pending signature" stage

  • In the Pending task section, you can see who sent the document, when it was sent, and thus see the status of the signature process

Good to know

The email is sent to the signer(s) by our partner Universign; you will not be able to modify this document sending email.


Electronic Signature

The entire signature process takes place in the Universign environment.

Your signer(s) will need to follow the following steps:

  1. Click the link received by email

  2. Accept Universign conditions

  3. Validate the signature via a code sent by SMS

  4. Sign the document

Electronic Signature Process

Once the document is sent, here is the signature procedure your signer(s) must follow:

For the electronic signature to be validated by Universign, a verification code will be sent by SMS to the signer(s).

Once the signature procedure is completed, the sender and the signer(s) receive an email informing them that the document is signed and allowing them to download the signed document.

Warning

Once the electronic signature process is started from BoondManager, the signer's phone number cannot be changed. It is important to enter it correctly from the start in BoondManager.

Receipt of the signed document in BoondManager

On the BoondManager side, you will see the task as completed, you will be able to see the entire signature process, and you will find the signed document saved at the planned location.

Reminders

Our partner Universign provides an automatic reminder after 3 days.

This reminder is handled by Universign; we cannot modify these settings.


Terms of use

You are entitled to a freemium quota based on your number of licenses.

If you need more signed documents per month, we invite you to contact support so we can increase your quota.


F.A.Q.

💡Is Universign a certified partner?

Universign is a trusted service provider, recognized by French and European authorities, and eIDAS certified.

💡Can I modify the document sending emails and reminder emails?

These emails are sent by Universign and cannot be modified.

💡Is a reminder scheduled if the signer(s) do not sign?

Universign schedules a reminder at 3 days.

💡Should I plan a signature box on my document?

We recommend not planning a signature box: it will be added on a blank page, following your initial document.

💡Where can I find my documents once signed?

You will find your signed documents in BoondManager at the location specified at the time of sending.

💡As a signer, can I find my signed or pending documents?

You can find your signed documents at any time by creating a free personal space on Universign. You can create it after signing a first document from our Electronic Signature App. This space only allows you to track the documents you have signed yourself and received from Boond.

💡How many signers can I add to the process?

You can add up to 4 signers for the same document.

💡Does the signing of activity reports now go through this partner?

No, the signing of timesheets remains a separate electronic signature procedure, completely free. This will therefore not impact your Universign credits.

💡How are credits counted in our pack?

A credit is deducted after the first signature, not at each signature (4 signers on the same document = 1 credit used in your pack, counted after the first signer).

💡Can I cancel the electronic signature procedure?

As long as the last signer has not signed the document, you can cancel the procedure from the pending task in BoondManager. Once the last signer has signed the document, you can no longer cancel or delete the document.

💡Can my document expire?

If the complete validation workflow has not been finalized within 14 days, the procedure will expire, the document will be deleted, and you will need to start a new signature process. You will find the trace of your initial expired sending in the activity log.
