How to manage currencies?

If your Agencies operate in a currency other than the euro or if your business is multi-currency, here’s how to add and adapt your usage.


Add and configure currencies

Add a new currency

To do this, you must have an account that allows you to log in to Administration.


Administration > Global Settings > Miscellaneous

Here you will find the list of currencies with the option to add one or several currencies:

Update the currency of your legal Agencies

Administration > Legal Agencies > Information tab > Global Configuration

You will find the list of currencies configured above: click on the desired currency.
Also remember to update the exchange rate to the right of the currency.

Manage exchange rates

Update exchange rates

You can edit the exchange rate to update it in the following cards:

From a contract card

Resources > resource card > Administrative tab > Contract

When you are in the contract, you can edit the exchange rate if it is incorrect.

If a new exchange rate needs to be applied, you will have to create an amendment to the initial contract.

Attention!

Editing the exchange rate of the current contract without an amendment will result in retroactivity for the entire affected period.

From an opportunity/project card

Projects > project card > Information tab > Additional information or
Opportunities > opportunity card > Information tab > Additional information

You can edit the exchange rate if it is incorrect. This action will impact the financial data of the entire opportunity/project retroactively.

If a new exchange rate needs to be applied without retroactivity, you will need to create a new project.

From an invoice card

Go to your invoice and adjust the exchange rate if necessary.
This change will apply to the amount of the concerned invoice.

Attention!

When you edit the exchange rate on an invoice, the amount of the Turnover charged in the Project Billing tab and in the Purchase Order Invoices tab is calculated according to the project exchange rate.

To analyze the Turnover charged with the invoice exchange rate, go to Reporting > Project view


Impact on reporting

Currency exchange rate updates impact different types of Turnover found in reporting.

Refer to this list to better understand your Key indicators.

In all reports:

  • The calculation of Turnover charged is based on the exchange rate of the invoice card

  • The calculation of Production Turnover is based on the exchange rate of the project card

  • The calculation of Signed Turnover is based on the exchange rate of the project card

  • The reporting is presented in the currency of the manager's Agencies viewing the report
