GDPR Consents is an application that allows you to maintain a register of your candidates' consents regarding the collection and processing of their personal data, to track this register over time, and to perform extractions for verification or in case of an audit.

Install and configure the application
Administration > Apps / Marketplace > GDPR Consents
Accessibility
Once the application is installed, remember to configure resource access to the application.
Several options are available to you:
Accessible only to authorized managers: you must activate the App for the managers of your choice directly in the Managers/Roles > Manager or Role card > Apps tab module, then activate the app at the end of the relevant line
Accessible to all managers: all your employees with a Manager account can use the App
Register a consent
Candidates > Candidate card > GDPR Consents tab
From this page you can add, edit, or delete consents for this candidate.
Choose the type of consent
Define the state of this consent (first consent, renewal, expiration, revocation)
Collection date
Collection method
Comment
Retention period (2 years by default)
Main manager
Legal agency of affiliation
Add a supporting document as an attachment once the card is saved

There are two ways to view consent collections:
From the GDPR Consents tab in the Candidates card
Directly in the GDPR Consents app where collections are listed. You are then free to configure the filters to display the results that interest you. If you want to go further in analyzing these results, you can also perform a CSV extraction of the questionnaire results. To do this, click on the Extraction icon at the top right of your screen

F.A.Q.
Does creating a candidate trigger the creation of a GDPR consent?
The GDPR specifies that consent must be explicit and unequivocal, therefore simply creating a candidate card will not trigger the creation of a GDPR consent; you must manually register this consent once it is collected.
Do consents expire automatically?
There is currently no automation integrated into this app, so it is up to your DPO to monitor the validity of consents (as is the case today). However, the GDPR Consents app offers filters on collection dates, which allows you to identify expired consents with one click and act accordingly according to your internal processes.
Are candidates anonymized once the consent expires?
The way a candidate card is anonymized depends entirely on what you enter, the retention periods you apply, and more generally your internal processes on the subject: therefore, it is not planned to automate this anonymization.
Is it possible to automate this entire tracking process and candidate card anonymization?
Yes! Thanks to our APIs, it is possible to automate collection, tracking, reminders, and even candidate anonymization.
