Customize your resources' calendar!

Do you manage teams spread across different regions, with specific public holidays or variable schedules?

Boond allows you to configure multiple calendars to adapt your employees' times by:

  • Contract or amendment

  • Delivery


Configure calendars in administration

Prerequisites

Be an administrator and/or have access to global settings.

Before applying different calendars to your resources and projects, make sure they are available for use!

To do this, go to :

Administration > Global settings > Miscellaneous > Calendars section

Click on Add a calendar:

You can then search among the calendars in the list to add it and assign it an explicit name (e.g.: "Switzerland - Geneva", ...).


Associate a calendar with a resource

By default, the calendar assigned to a resource is that of its legal agency of attachment.

Does your resource need a different calendar (resource in another country or geographic area than yours...)? No problem! You can apply a calendar per contract/amendment.

From the Resource card > Administrative tab > Contract, edit the Contract calendar field.

This setting will apply to all their timesheets and projects by default.

It will therefore replace the calendar of the legal agency previously applied.


Set a specific calendar on a delivery

If the calendar change is directly linked to a delivery, you can edit the calendar directly on the delivery rather than on the contract (which would apply to all deliveries indiscriminately).

Go to a project > Deliveries tab, click on the desired delivery row, then:

  1. Click on "Edit the delivery calendar" to see the applied calendar

  2. Then click on "Edit" to access the dropdown list of available calendars

  3. Choose the desired calendar

  4. Save

You can apply a different calendar to as many deliveries as needed.


Concrete example

An employee is attached to the agency "Paris" and therefore benefits from the calendar "France without Pentecost".

He is currently working on 2 deliveries in parallel: one in Switzerland and one in London, in addition to internal tasks for the Paris agency.

Thanks to the different delivery calendars, he can enter his time with the local Swiss and English calendars on his deliveries, while keeping the France calendar for his leave and tasks performed in Paris.

Each activity line of his timesheet will display the public holidays corresponding to his assigned calendar:

FAQ

What happens if I don\'t set a calendar on the delivery?

The calendar defined in the Resource card will apply by default.

Can I edit calendars once time has been entered?

Yes, calendar changes are retroactive and will be displayed on all relevant timesheets, including past ones.

How are the working days of timesheets calculated?

The number of available working days in the month indicated in the timesheet depends solely on the resource\'s contract calendar.

What happens if the resource doesn\'t have a contract?

If there is no contract, Boond defaults to the resource\'s agency calendar.

My resource has two overlapping contracts. What happens in this case?

If contracts overlap (even though this practice should be avoided), Boond will take into account the calendar of the last contract created for the overlapping days.

What happens when an amendment is created?

The amendment defaults to the contract calendar. But you can edit the amendment calendar to change the calendar applied on a desired date.

I have flat-rate expenses on my resource, which calendar will be applied?

The flat-rate expenses calendar will take either the contract or the delivery calendar if applied.

I use ResourcePlanner, do I need to do anything?

Nothing at all! You will see the calendar corresponding either to the resource\'s contract or to the relevant delivery, if a calendar has been applied there.

What should I do in case of Delivery transfer?

If the calendar is managed by the resource\'s contract, it will be taken by the final delivery.

If you want to apply a specific calendar, you will need to edit it from the final (transferred) delivery.

What does the Planning module display?

It displays the resource\'s contract calendar.
