How to rebill expenses related to a fixed-price or time-and-materials project?

Sometimes, you may have expenses to rebill on certain projects.


From the expense report of the resource

Resources Module > Resource card > Expenses tab > Expense report for the relevant month

  • Go to the expense report of your resource

  • At the end of the expense line, check "Rebill Client" (this check will make this expense line appear directly on the invoice to be issued)

  • Save and validate the expense report.


For fixed-price projects

The simplest solution is to create the invoice from the expense report.

  • Click directly on the "Invoice" icon at the top of this expense report

  • The tool asks you which purchase order to link this expense report to

  • Then you arrive at the invoice in question, with a line corresponding to this expense and of type "Rebilled expenses"

  • All you have to do is save so the invoice gets a reference!


For time-and-materials projects

If your time-and-materials project order is set to monthly billing mode, then the expenses checked "to rebill" automatically appear on your invoice.

From your order card

You can generate your invoice directly from your Project > Billing tab > Click on the Order.

On your order card, you checked whether you wanted the expenses to be separated from the timesheets or not.

By clicking the + button and selecting Invoice, the tool offers to invoice the month of your choice. If nothing is specified, timesheets and expenses will be on the same invoice. If you have the choice between timesheets and Expenses/Purchases, then you checked the checkbox to separate them.

From PostProduction

Go to our PostProduction App (My Apps > PostProduction) at the end of the relevant month.

The expense report automatically appears on the monthly billing:

  1. Filter at the top by perimeter, type (time-and-materials), and period, then click Search

  2. When opening the details, you see both the saved expenses checked "to rebill" AND the timesheets entered by your resource multiplied by their sale rate.

  3. Click the invoice icon at the end of the line to generate the invoice, which will have 2 lines: expenses and timesheets

ATTENTION

The invoice icon only appears if the tool has all the elements to invoice in time-and-materials mode, that is, a purchase order correlated to the delivery(ies) and timesheets reported on it.
